Pricing & Plans
What does "unlimited calling" mean?
Unlimited calling includes outbound calls to US and Canada landlines and mobile numbers, plus inbound calls to your assigned phone number(s). All unlimited plans are subject to our fair use policy for normal business use. International calls are billed per minute.
What's the difference between Starter, Pro, and Pro + Transcription?
All plans include unlimited calling to US and Canada plus 1 phone number:
- Starter ($19/mo) - Click-to-dial, auto call logging, mobile apps
- Pro ($39/mo) - Everything in Starter plus AI call summaries and SMS messaging
- Pro + Transcription ($49/mo) - Everything in Pro plus full call transcripts saved to HubSpot
Can I add more phone numbers?
Yes! Additional phone numbers (DIDs) are available for $2/month each. You can add them during signup or contact support to add them to your existing account.
What about international calling?
International calling is available on all plans (Starter, Pro, and Pro+) via prepaid minute packs. Purchase minutes in any amount, and we'll notify you when your balance is low with an option to refill. Contact info@crmphone.app for rates and minute pack options.
Fair Use Policy
Can I use auto-dialers or robocalls?
No. CRM Phone is designed for normal business calling. Auto-dialers, predictive dialers, robocalls, and automated calling systems are strictly prohibited. Accounts using these tools will be suspended immediately.
What happens if I abuse the unlimited calling?
If we detect usage patterns inconsistent with normal business use (such as call center volumes, automated calling, or resale without authorization), we reserve the right to impose usage limits, charge per-minute rates, or suspend service. We'll provide notice before taking action when possible.
Can I use CRM Phone for a call center?
High-volume call center operations require our Enterprise or Reseller agreement. Contact info@crmphone.app for custom pricing.
Call Recording & Consent
Do I need consent to record calls?
Yes, in most cases. Many US states require "two-party consent" (all parties must agree to recording), including California, Florida, Illinois, Maryland, and others. Federal law requires at least one-party consent. You are responsible for knowing and following the laws in your jurisdiction and the jurisdiction of the person you're calling.
How do I get consent for recording?
Common methods include:
- Verbally stating "This call may be recorded for quality purposes" at the start of each call
- Using an automated disclosure before calls connect
- Having customers agree to recording in your service agreement
Consult with a lawyer for specific guidance on your situation.
Can CRM Phone make emergency (911) calls?
CRM Phone is not designed for emergency calls. As a VoIP service, it may not reliably connect to 911 or transmit your location to emergency services. Always maintain access to a traditional phone or mobile device for emergencies.
AI Features
What's included with AI?
Our AI plans include:
- Pro ($39/mo) - AI call summaries with key points, action items, and follow-ups
- Pro + Transcription ($49/mo) - Full searchable transcripts plus AI summaries
Results are added to the HubSpot contact record within 5-10 minutes after the call ends.
How accurate is the transcription?
We use Google Cloud Speech-to-Text which provides industry-leading accuracy. Accuracy depends on audio quality, accents, and background noise. Most business calls achieve 90%+ accuracy.
Can I disable AI features for certain calls?
Yes. You can disable AI processing on a per-call basis, and you can request deletion of existing transcriptions/summaries at any time by contacting support.
SMS Messaging
How much does SMS cost?
SMS is included free with Pro and Pro + Transcription plans. No per-message charges.
Which plans include SMS?
SMS messaging is available on Pro and Pro + Transcription plans. Starter plans do not include SMS.
Can I send SMS from my CRM Phone number?
Yes! SMS is sent and received using the same phone number (DID) as your voice calls. Messages are logged to the HubSpot contact record automatically.
Are there any SMS limits?
There are no hard limits on SMS volume for normal business use. However, bulk messaging, automated spam, or marketing campaigns without proper consent are prohibited under our Terms of Service.
Getting Started
How long does setup take?
Start calling immediately after signup! Your phone numbers are provisioned instantly and you'll receive your login credentials via email within minutes. Just install CRM Phone for HubSpot and you're ready to go.
Can I port my existing phone number?
Yes! During signup, select "Port Existing Numbers" and provide your current carrier information. Porting typically takes 5-10 business days. You can use a temporary number while waiting for the port to complete.
Is my data secure?
Yes. We use industry-standard encryption for all data in transit and at rest. HubSpot OAuth tokens are encrypted. AI processing is done via Google Cloud with enterprise-grade security. See our Privacy Policy for details.
Billing & Cancellation
Can I cancel anytime?
Yes. Cancel anytime from your Stripe billing portal or by contacting support. No contracts, no cancellation fees. Your access continues until the end of your current billing period.
What's your refund policy?
We offer a 14-day money-back guarantee on all plans. If you're not satisfied within 14 days of your initial purchase, email support@crmphone.app for a full refund.
Monthly plans: Cancel anytime. No refunds for partial months after the 14-day period.
Yearly plans: Same 14-day guarantee applies. After 14 days, yearly subscriptions are non-refundable but service continues until the end of your annual billing period.
Usage-based charges (international calls) are non-refundable.
How is billing handled?
Choose monthly or yearly billing at signup. Yearly billing saves 17% (2 months free). International calls and extra phone numbers are billed at the end of each billing cycle. You'll receive a detailed invoice via Stripe.
